Privacy Policy

How Snapfact handles your data — and why you keep control.

1. Who we are

Snapfact is operated by FNI Solutions SRL, a Belgian private company.

2. What data we collect

We collect the following categories of personal and business data:

  • Account data: name, email, company name, VAT number
  • Invoice data: client names, amounts, IBAN numbers, invoice content
  • Usage data: feature usage, session duration, error logs
  • AI interaction data: Spark queries and responses (stored on Belgian servers only)

3. How we use your data

We use your data to:

  • Provide the Snapfact invoicing service
  • Generate Peppol-compliant e-invoices
  • Run Spark AI on your invoicing data
  • Send payment reminders on your behalf

3b. What we do not do

We do NOT sell your data. We do NOT share with advertising networks.

4. Where your data is stored

All data is stored exclusively on FNI Solutions' own servers in Belgium.

No data is transferred to the United States or non-EU countries.

AI inference runs on our own GPU hardware in Brussels.

We do not use OpenAI, AWS, Google Cloud, or Azure for any data processing.

5. Your GDPR rights

Under the GDPR, you have the following rights:

  • Right to access your data (email privacy@snapfact.be)
  • Right to correction
  • Right to deletion ("right to be forgotten")
  • Right to data portability (export as JSON or CSV)
  • Right to withdraw consent
  • Right to lodge a complaint with the Belgian DPA (APD/GBA): www.dataprotectionauthority.be

6. Data retention

Active accounts: data kept for duration of subscription + 7 years (Belgian accounting law).

Deleted accounts: data deleted within 30 days, except where legally required to retain.

Invoice data: retained 7 years per Belgian VAT regulations (Art. 60 WBTW).

7. Cookies and website analytics

We use essential cookies and similar storage for security, language preference, session stability, and remembering your consent choice.

With your consent, we may use self-hosted Umami analytics operated by FNI Solutions on our own infrastructure in Belgium to measure visits, acquisition sources, and engagement on snapfact.be. Analytics is off by default and loads only after you accept analytics cookies.

No advertising cookies. No tracking pixels. No third-party analytics SaaS outside Belgium.

8. Changes

We will notify you by email of any material changes to this policy.

Continued use of Snapfact after notification constitutes acceptance.
